Team Leader to join the Cardiology team at King's Mill Hospital, providing day-to-day leadership and support to our Cardiorespiratory administrative services.
The successful candidate will lead and support our Waiting List Coordinators, Receptionists and administrative teams, helping to ensure patients move smoothly and efficiently through their Cardiology diagnostic pathways. The role has a key focus on waiting list management, patient bookings, pathway tracking and supporting the delivery of local and national performance standards.
We are looking for an organised, motivated and approachable individual with strong communication and leadership skills who can manage competing priorities in a busy environment. You will work closely with the Associate Operations Manager, Physiologists, Consultants and wider multidisciplinary team to provide a high-quality, patient-focused administrative service and support continuous service improvement.
Main duties of the jobThe post holder will provide day-to-day leadership and supervision to the Cardiology administrative teams, including Waiting List Coordinators and Receptionists, ensuring a responsive, efficient and patient-focused service. Key responsibilities include overseeing patient bookings across Cardiology diagnostic services, managing and validating admitted and non-admitted waiting lists, monitoring long-waiting patients and diagnostic performance, and ensuring local and national access targets are achieved.
The role will also involve allocating and prioritising workload, supporting staff training and development, managing sickness and leave, responding to complex patient and service queries, and escalating operational issues appropriately. Working closely with the Associate Operations Manager, Consultants, Physiologists and wider Cardiology team, the post holder will support service improvement, maintain high standards of data quality and help ensure patients progress smoothly through their diagnostic pathway.

The post holder will have responsibility for overseeing patient bookings across Cardiology diagnostic services and proactively managing patient pathways to ensure patients are progressed appropriately and waiting time standards are achieved.
Key responsibilities will include:
- Leading and supervising Waiting List Coordinators, Receptionists and administrative staff, including workload allocation, induction, training, appraisal, sickness monitoring and coordination of annual and study leave.
- Managing and monitoring admitted and non-admitted Patient Tracking Lists (PTLs), including validation of six-week diagnostic breaches, management of long-waiting patients and supporting delivery of DM01 and non-DM01 performance standards.
- Overseeing patient bookings across both sites, ensuring timely communication with patients and staff and that patients progress effectively through their diagnostic pathway.
- Responding to complex patient, staff and service queries and complaints, taking appropriate action and escalating concerns where required.
- Supporting the administrative team during periods of short staffing or sickness to maintain service continuity and patient pathway management.
- Maintaining accurate patient information and supporting high standards of data quality across systems including Cardiobase and CareFlow.
- Working closely with the Associate Operations Manager, Consultants, Physiologists and wider multidisciplinary team to identify and resolve operational issues and support effective service delivery.
- Supporting departmental audits, performance monitoring, service meetings and implementation of learning and improvement actions.
- Contributing to service development and continuous improvement, identifying opportunities to improve administrative processes, patient experience and achievement of Trust and national standards.
- Ensuring administrative processes are undertaken consistently and in accordance with Trust policies, procedures and agreed Standard Operating Procedures.
The successful candidate will be highly organised, able to prioritise effectively in a busy and changing environment and confident in providing leadership and support to colleagues. They will have excellent communication skills and a strong commitment to delivering high-quality services for Cardiology patient
Person SpecificationKnowledge and SkillsEssential- Excellent communication and time-management skills.
- Enthusiastic and receptive, with the ability to work under fluctuating and non-routine workloads.
- Computer literate, with accurate keyboard skills
- Knowledge of NHS services and healthcare administrative systems and processes.
- Experience of databases, spreadsheets and patient administration systems, including Excel or similar applications.
- Experience of using a range of clinical and patient data systems
- Understanding of medical terminology and Cardiology patient pathways
- Knowledge of confidentiality, data protection, health and safety, equality and diversity
QualificationsEssential- Good general education, including GCSE English at grade C or equivalent
- NVQ Level 3 or equivalent experience and relevant supervisory training.
Desirable- NVQ in Customer Care and a recognised IT qualification.
ExperienceEssential- Significant experience in an acute NHS or medical intervention department.
- Customer care experience
- Experience of supervising staff
- Experience of other clinical IT systems is desirable.
Contractual RequirementsEssential- Regular attendance and willingness to work flexible hours as necessary.
