Job summaryDue to the retirement of our current Practice Manager, the Menston and Guiseley Practice are looking to recruit an experienced and proactive Practice Manager to join our friendly, supportive and dedicated team. The successful applicant will provide strong leadership across the operational, HR, financial and business management functions of the Practice, supported by an Assistant Practice Manager.
Working closely with the GP Partners and the wider Practice team, the Practice Manager will play a key role in ensuring the Practice operates effectively, continually improves services for patients, remains compliant with NHS requirements and supports the ongoing development and growth of the business.
The role requires excellent organisational, communication and leadership skills, together with a good understanding of general practice and NHS contractual requirements. Strong IT skills including proficiency in Microsoft Excel, experience of managing finance and budgets and experience using SystmOne are also essential.
Main duties of the jobProvide effective day-to-day leadership and management of the Practice, working closely with the GP Partners on strategic development, business planning and growth.
Lead and oversee all aspects of HR and staff management, including recruitment, performance management, staff development, employee relations and workforce planning.
Take overall responsibility for the financial management and sustainability of the Practice, including budgets, income, expenditure, financial reporting and contractual income.
Ensure the Practice meets its GMS contractual, NHS, CQC, governance, health and safety and regulatory requirements.
Oversee patient services, including complaints, the PPG and the development and implementation of Practice policies and procedures.
Identify opportunities to maximise Practice income, including enhanced services, funding opportunities and reimbursement schemes.
Oversee Practice premises and estates management, including maintenance, rent reviews, leases and premises reimbursement claims.
Maintain effective relationships with the PCN, external organisations and professional advisers, representing the Practice at relevant meetings.
Oversee GP and staff pension administration, ensuring processes are accurate and completed within required timescales.
Promote a positive, supportive and professional working environment, ensuring the Practice continues to develop and provide high quality services to patients.

The clinical team is supported by an experienced and highly skilled administrative team including Receptionists, clinical coders and secretaries alongside the Practice Management team.

Job responsibilitiesLeadership and Practice Management- Provide effective day-to-day leadership and management of the Practice.
- Work closely with the GP Partners on the strategic development and growth of the Practice.
- Attend and contribute to Partners meetings, business and finance planning meetings, PCN meetings and relevant external meetings.
- Support the development and implementation of Practice business plans and objectives.
- Oversee Practice contracts, enhanced services and contractual requirements.
- Ensure the Practice meets its obligations under the GMS contract and other NHS requirements.
- Maintain effective relationships with the PCN and contribute to PCN management and Executive Board meetings.
Human Resources- Lead and oversee all aspects of staff management, including:
- Recruitment and selection
- Induction and probationary reviews
- Staff appraisals and performance management
- Absence management
- Staff development and training
- Contracts of employment and job descriptions
- Grievance and disciplinary procedures
- Ensure staff training and mandatory requirements remain up to date.
- Promote a positive, supportive and professional working environment.
Patient Services and Governance- Manage and respond to higher-level patient complaints, ensuring appropriate investigation and resolution.
- Develop and maintain an effective relationship with the Patient Participation Group (PPG).
- Ensure appropriate policies, procedures and governance arrangements are in place.
- Maintain oversight of CQC compliance and ensure the Practice remains prepared for inspection.
- Ensure compliance with health and safety requirements, including disaster recovery and business continuity arrangements.
- Oversee Practice and employer liability insurance, medical indemnity arrangements and locum insurance.
Finance and Business Management- Take overall responsibility for the financial management of the Practice and contribute to its ongoing financial sustainability and growth.
- Oversee bookkeeping and financial administration.
- Monitor and analyse income and expenditure.
- Prepare and present budgets and financial information to support Practice decision-making.
- Oversee HMRC payments and ensure appropriate financial compliance.
- Manage partnership drawings and liaise with GP Partners regarding financial matters.
- Ensure contractual income and enhanced service payments are appropriately managed and maximised.
- Identify and maximise available funding opportunities and reimbursement schemes.
- Liaise with the Practice accountants and attend regular accounts meetings.
- Ensure pension regulatory requirements are met.
Estates Management- Oversee the management and maintenance of Practice premises.
- Ensure rent reviews are undertaken and kept up to date.
- Manage challenges relating to premises costs and funding where appropriate.
- Oversee NHS England/NHS reimbursement claims relating to premises.
- Ensure leases and Land Registry records are updated when required.
GP and Staff Pension Administration- Oversee salaried GP pension administration, including:
- Pension joiners and leavers
- GMS pension deductions
- Type 2 pension forms
- Annual estimates of pensionable pay and profits
- Ensure pension processes are completed accurately and within required timescales.
Person SpecificationExperienceEssential- Significant experience of working within general practice or the NHS, with a good understanding of NHS contractual and regulatory requirements.
- Proven experience of leading and managing staff, with strong organisational, communication and leadership skills.
- Good understanding of practice finance, HR, governance, compliance and service development.
- Strong IT skills, including Microsoft Excel, with experience of SystmOne.
QualificationsEssential- Relevant management qualification or equivalent experience in a senior management role.
