Tupsley Dental Practice,
Hereford, we're looking for an experienced, highly organised and personable
Patient Coordinator to join our established private practice.
This is a key role within the practice, combining
patient coordination, new patient management, treatment follow-up, social media and marketing, alongside an important
Deputy role supporting the Clinic Manager.
We're looking for someone who is confident taking ownership, commercially aware and experienced in leading and supporting a team. You will be a trusted member of the management team and will be expected to step up and support the Clinic Manager when required.

About the roleAs our
Patient Coordinator, you'll have your own dedicated working space and will take ownership of the patient journey, ensuring patients receive a seamless, professional and engaging experience from their first enquiry through to treatment and ongoing care.
Alongside your Patient Coordinator responsibilities, you'll form part of the
practice management team, providing leadership and operational support to the Clinic Manager.
When required, you'll step into a
Deputy/Duty Manager capacity, helping to ensure the practice continues to run smoothly, the team remains supported and our high standards are maintained.
Your responsibilities will includePatient Experience & Coordination- Taking ownership of the patient journey from initial enquiry through to treatment completion and beyond
- Building strong, genuine relationships with new and existing patients
- Following up patients with outstanding or unbooked treatment
- Supporting patients considering larger treatment plans, including implants, Invisalign and cosmetic dentistry
- Supporting recall and patient reactivation initiatives
- Monitoring patient feedback and identifying opportunities to improve the patient experience
- Working closely with reception and clinical teams to ensure patients receive consistent and proactive communication
New Patients & Practice Growth- Managing new patient enquiries and ensuring timely follow-up
- Supporting the conversion of enquiries into appointments and treatment
- Monitoring new patient activity and identifying opportunities for improvement
- Supporting Open Days, promotions and other practice growth initiatives
- Helping to keep diaries productive by proactively reducing whitespace
- Monitoring key practice performance indicators and helping turn information into action
Social Media & Marketing- Supporting and developing the practice's social media presence
- Supporting marketing campaigns, promotions and events
- Ensuring our communications reflect the values and patient experience of Tupsley Dental Practice
Leadership & Deputy Management- Acting as Duty Manager when the Clinic Manager is unavailable
- Providing leadership, support and direction to the team
- Helping coordinate staffing and resolve day-to-day operational issues
- Supporting team communication, accountability and performance
- Supporting HR administration, staff training records and onboarding
- Supporting practice compliance, audits and action plans
- Assisting with routine management correspondence and administration
- Helping identify and implement improvements to practice processes
- Taking ownership and making confident decisions when required
