Main duties of the jobThis role is part of the Federations Integrated Services team. This team delivers a range of services on behalf of our member practices, and projects are commissioned on both short-term and long-term bases. This role will be required to support multiple services within a working week and meet the needs and demands of each service.
The administrator is a crucial role enabling the smooth working and delivery of services for the organisation. The role work closely with service managers and clinical staff. Their primary responsibility will be offering appointments to patients but they will also assist with operational processes and ensuring relevant service procedures and policies are updated.

Job responsibilities- Act as the first point of contact for patients, clinicians, member practices, partner organisations and other stakeholders, responding to enquiries by telephone, email and in person in a professional and timely manner.
- Manage shared service inboxes, telephone messages and incoming correspondence, prioritising urgent matters and escalating clinical, safeguarding or operational concerns to the appropriate person without delay.
- Provide patients with clear and accurate information about appointments and service processes, within the boundaries of the administrative role.
- Book, amend and cancel patient appointments, ensuring that patients, clinicians and relevant partner organisations are informed of any changes.
- Maintain accurate appointment books and clinic schedules, identifying unfilled capacity, booking issues or potential service disruption and escalating these appropriately.
- Support the effective use of clinical capacity by monitoring waiting lists, outstanding bookings, cancellations and Did Not Attend outcomes, taking follow-up action in line with service procedures.
- Contact patients through approved communication channels to arrange appointments, issue reminders and support attendance, recording all contact attempts and outcomes accurately.
- Receive and process referrals, checking that required information has been provided and liaising with referrers (internal or external) where information is missing or unclear
Person SpecificationQualificationsEssential- Education up to A-Level or equivalent
- GCSE in Maths and English
Desirable- Further education or degree qualification or equivalent
ExperienceEssential- Previous experience working in a busy office setting
- Experience of being the first point of contact for services
- Experience of communicating to patients or customers over the phone or face to face
Desirable- Experience of clerical experience in Primary Care
