As a Delivery Pharmacy Administrative Assistant, you’ll play an important role behind the scenes, helping our pharmacy home delivery service run smoothly. From processing orders and coordinating delivery information to keeping records accurate and supporting communication with patients and pharmacy teams, your attention to detail will help make sure medicines reach customers safely and on time.

Every day will bring a mix of administrative and coordination tasks. You could be entering delivery information into our planning system, managing documentation for controlled drugs and fridge deliveries, or updating customer records. You’ll also work closely with drivers, pharmacy colleagues and patients to respond to changes, resolve delivery issues and help maintain a reliable service.

Accuracy, confidentiality and good communication will be at the heart of what you do. You’ll help ensure sensitive patient information is handled appropriately, documentation is completed correctly and deliveries are prepared securely and in line with our procedures. Working as part of the Pharmacy Warehouse team, you’ll also have the opportunity to support colleagues across the wider pharmacy operation when needed.

Helping every delivery run smoothly
  • Processing delivery orders accurately and coordinating with patients, pharmacy branches and drivers to support efficient delivery schedules.
  • Preparing and checking delivery documentation, including requirements for controlled drugs and fridge deliveries, while maintaining accurate and confidential customer records.
  • Picking and packing vehicle deliveries, checking labelling and ensuring medicines are securely packaged for dispatch.
  • Following GDPR, cold-chain handling and controlled drug procedures, while escalating patient concerns, missed deliveries and potential risks promptly.
  • Supporting the wider pharmacy home delivery and administration team, contributing to a positive and collaborative working environment.

27.5 hours per week, Monday to Friday, working on a two-week rota:
  • Week 1: 8.00am – 1.30pm
  • Week 2: 12.00pm – 5.30pm

About you
Someone who takes pride in getting the details right

This is a role where organisation, accuracy and reliability are essential. You’ll enjoy working with information, keeping things running smoothly and making sure the right details are in the right place at the right time.

You’ll be confident communicating with a range of people, from patients and pharmacy branches to drivers and colleagues across the wider pharmacy team. Previous experience in an administrative role would be beneficial, ideally within a healthcare, logistics or pharmacy environment, but we’re equally interested in someone with strong organisational skills, a positive attitude and a willingness to learn.

We’re looking for someone who can demonstrate:
  • Previous experience in administrative support, ideally within a healthcare, logistics or pharmacy environment.
  • Excellent attention to detail when processing documentation, entering data and handling orders.
  • Strong written and verbal communication skills, with the confidence to liaise with patients and internal teams.
  • An understanding of confidentiality and data protection, particularly when handling sensitive medical information.
  • Good organisation skills, with the ability to manage multiple tasks and deadlines both independently and as part of a team.
  • Confidence using delivery tracking systems, Microsoft Office and standard administrative software.
  • A proactive approach, with a willingness to support colleagues and work across departments when needed.

You’ll be someone who understands that accurate administration plays an important part in delivering a safe, reliable pharmacy service. You’ll take pride in your work, remain calm when priorities change and look for practical ways to support your colleagues and improve the service we provide to patients.
