Job summaryWoodlands Medical Practice are seeking an experienced and highly organised Medical Secretary to join our friendly and busy GP practice.
The successful candidate will work 16 hours per week providing efficient administrative and secretarial support to the clinical team, ensuring that referrals, correspondence and patient information are processed accurately, promptly and confidentially. They will work alongside our current Medical Secretary supporting the ever growing needs of the practice. Alongside the secretarial work the candidate will work within the DATA quality team when required to do so.
Main duties of the job- Processing and managing clinical referrals in accordance with practice procedures.
- Using SystmOne (S1) confidently to manage patient records, referrals, tasks and clinical correspondence.
- Undertaking accurate audio typing of clinical letters, reports and other medical correspondence.
- Preparing and processing hospital and specialist referrals, ensuring all relevant information and documentation is included.
- Monitoring referrals and following up outstanding actions where required.
- Managing incoming and outgoing correspondence.
- Liaising with GPs, clinicians, hospitals, community services and other healthcare professionals.
- Maintaining accurate and up-to-date patient records.
- Ensuring all work is completed in accordance with confidentiality, information governance and practice policies.
- Providing general administrative and secretarial support to the clinical team as required.
- Supporting the DATA quality team when required to do so.
About usWoodlands Medical Practice are a 4 partner practice with 5 salaried GPs a full Nursing and HCA team and an extended admin and reception team lead by the practice manager and supported by the Business Support Officers.
The practice is a long established firm of General practitioners who work from purpose built premisses in Sutton - In - Ashfield.
We are a training practice and currently have 4 GP Registrars and 1 F2 Dr in training at the practice.
We are part of the Ashfield North PCN.

QualificationsEssential- Previous experience working as a Medical Secretary.
- Excellent knowledge of the referral process, including NHS e-Referral Service procedures.
- Proven experience using SystmOne (S1).
- Strong audio-typing skills with excellent accuracy and attention to detail.
- Excellent written and verbal communication skills.
- A good understanding of medical terminology.
- The ability to prioritise workload and work effectively under pressure.
- A high level of confidentiality and professionalism.
- Good IT and administrative skills.
- The ability to work independently while also being an effective member of a multidisciplinary team.
Desirable- Previous experience within primary care.
- Knowledge of NHS referral pathways and local services.
- Experience dealing with hospital correspondence and clinical documentation.
- Knowledge of GP practice systems and procedures.
