Job summary
This post is for internal candidates to The Shrewsbury and Telford Hospital NHS Trust and Shropshire Community Health NHS Trust. If you are not currently working within either of these Trusts, your application will not be reviewed and automatically rejected at shortlisting stage. Please be aware of this when submitting your application.

This secondment offers an experienced medical secretary the opportunity to join the Digital Change Team and support a major digital transformation programme. The programme will move services away from manual processes and paper records towards electronic patient records and digitally enabled ways of working.

The post holder will bring practical knowledge of medical secretarial and administrative workflows to help ensure that new systems and processes are safe, effective and meet the needs of staff and patients.

Recognising that this will be a challenging period for affected staff groups, the post holder will provide visible, practical support throughout design, preparation, implementation and adoption.

The role requires excellent communication and interpersonal skills, the ability to build effective relationships with a wide range of clinical, operational, administrative and digital stakeholders, and the confidence to manage challenging conversations sensitively and constructively.

Main duties of the job
  • Bring detailed knowledge of medical secretarial and administrative processes to the design and implementation of electronic patient records and digitally enabled workflows.
  • Work with medical secretaries, clinicians, operational teams and digital colleagues to document current processes and help design safe, practical future processes.
  • Identify how proposed changes may affect staff, roles, responsibilities, workload, patient pathways and service delivery, escalating risks and issues appropriately.
  • Act as a key point of contact for affected secretarial and administrative staff, providing clear information, listening to concerns and promoting two-way communication.
  • Build positive working relationships with a wide range of stakeholders and support constructive conversations where there may be uncertainty, challenge or resistance to change.
  • Support user engagement activities, workshops, demonstrations, process reviews, testing and readiness assessments.
  • Contribute to the development and review of training plans, learning materials, user guidance and standard operating procedures.
  • Help identify training needs, encourage attendance and completion, and provide practical support before, during and after implementation.
  • Support go-live and early-life activity, including floorwalking, issue capture, feedback and reinforcement of new ways of working.

About us
Our Poppy's Promise Commitment
We believe that compassionate care sits at the heart of everything we do. Every member of our team -- clinical or non-clinical -- plays a vital role in ensuring that patients, families, and colleagues are treated with dignity, empathy, and respect at all times.

We expect all staff to demonstrate compassion not only through their words, but through their actions: by listening attentively, communicating clearly and kindly, and recognising individual needs, feelings, and circumstances of those in our care.

Effective communication is central to safe and high-quality healthcare. We value colleagues who take the time to understand others, explain information in a meaningful way, and respond to concerns with patience and understanding.

By joining our team, you are committing to uphold these values -- ensuring that every patient feels heard, respected, and valued, and that compassion is embedded in every interaction, every day.
